Planning Guide for Golf Outing

    Pick a Course

  • The course can be the key to your Success.
  • Set a budget and find the best course that fits your budget.
  • Make sure the course you choose allows shotgun starts.
  • Check the quality of their catering service and if they have space available for meals.
  • Check to make sure the restrooms and other amenities are up to par.
  • Make sure the course is accessible to and from for all participating in your golf outing.

    Promote the Event

  • Create a flyer that includes all information and send these flyers to everyone associated with the golf outing, as well as, local golf courses.

  • For a charity, contact your local media and ask them to run public service tags.
  • Use applicable web sites and newsletters.
  • The best way to recruit players is to identify one key person for each team and allow them to fill out the remaining members of their team. Allow this key person to ask their friends and family to support the cause or event they are playing for by playing in the tournament.

    Picking Prizes

  • The easiest way to recruit people for next years event is to retain the players recruited for your current event and get them to spread the word about what a great time they had. The best way to do this is to offer nice prizes.
  • Everyone in the event should get something for playing. This is a great opportunity to give them something with the events logo on it. This could be a shirt, golf balls or any of several various accessory items.
  • To make the event fun for everyone have a contest or prize on every hole. Use items you have had donated or purchased to give away with a Flag Event on each hole. This is a way for players of all skill levels to stay interested in the round throughout the day.

  • Team prizes should be awarded to at least 25% of the players. The fairest way to do this is to break the teams into flights. For example if you have 24 teams, create three flights and award prizes to two of the teams in each flight. These should be nice prizes and should be awarded to all of the players on each team.

    Day of the Event

  • The golf course should be responsible for making sure there are signs on carts with players names, scorecards on carts, and the pairings are put together for each group with tee assignments.
  • An information sheet should be provided to each player explaining the format of the tournament, listing holes with prizes, describing how many flights, and thanking major sponsors.
  • Set up a registration table. Everyone will sign in here and you can get their contact information. After the player is registered send them towards their cart. After all participants are registered and at their assigned carts, the tournament director should address the crowd and give thanks to all participating and provide details for the day.
  • At the completion of the round, golf course personnel should score the event and provide the names of the winners allowing you to award prizes to the winners. It is imperative to do everything you can to insure complete satisfaction from your patrons because this is the best way to recruit for next year.
